New translation process
The WRHA is a provincially mandated bilingual (French/English) public body, meaning all sites, programs, and services must communicate with the public in both official languages. Therefore, all written communication for the public—such as public notices, ads, websites, surveys, fact sheets, patient info, and forms—must be professionally translated into French to reflect the WRHA’s bilingual status.
What’s Changing:
Shared Health will now be responsible for all translation requests for all RHA’s. Moving forward, please send all translation requests to Shared Health Francophone Health using the provided links below. This includes all translation needs between English to French or French to English.
How This Affects You:
- There’s no cost for translations.
- To request a translation, you must complete and send a Translation Request Form with the document(s) to be translated to [email protected].
- Shared Health Translation Services does not provide services after hours, unless mutually agreed upon.
- Outsourcing is not permitted unless working with a vendor or supplier that provides or includes accredited translations services.
- Machine or computer-aided translation tools (e.g., Google Translate, Deepl, etc.) are not permitted in lieu of professional translations.
Submission Process:
Know your audience and what reading level is appropriate. All translations will be done at the same reading level as the original document. This means if your document is in plain language, it will remain in plain language after translation.
Only MS Office documents (Word, Excel, PowerPoint) will be accepted for translation.
Ensure documents are in their final edited version.
If your document has previously been translated, ensure you send a copy of the document as a reference with your request.
One translation request form is required for each document you are sending.
Once your request is received, Shared Health Francophone Health will confirm the expected turnaround time.
If you need a rush translation, please clearly indicate this on the form.
Please ensure adequate time for translation and review in your production schedule.
